MNB Solutions built an intelligent web-based forms portal to digitize complex regulatory compliance documents for a major German grid operator in the energy sector. The solution replaced a fully paper-based process where thousands of compliance forms were processed annually - each form 10+ pages with hundreds of conditional fields based on national technical standards. The previous process involved downloading PDFs, filling them by hand, scanning, and emailing to processing departments with high error rates and correction cycles lasting weeks.

The solution uses intelligent form wizards that mirror the official document structure with step-by-step guided input. Conditional field logic ensures users only see fields relevant to their specific case based on type, jurisdiction, regulatory regime, or equipment category. Real-time cross-validation checks every entry against reference catalogs and master data at the point of entry rather than weeks later during manual review. Automated PDF generation produces compliant output documents identical to the official format so downstream systems and regulators receive exactly what they expect.

The system was delivered within strict constraints: seamless embedding into the existing public website running Adobe CMS, Azure B2C authentication for secure user access, GDPR-compliant storage with auto-anonymization of personal data, real-time validation against the internal equipment catalog, full penetration testing before go-live, and a delivery timeline of approximately 3 months from project start to production.
